Compose message

Enter subject and body. Use clear start/end times and impact description.

Choose audience

Select clients by criteria (e.g. service area, tag, or list)—options depend on your form.

Send

Confirm and send. Email uses company mail settings.
Prepare a template for common outage types (fiber cut, tower maintenance, DNS issue) so NOC can send faster under pressure.

Planned maintenance template

Email templates may include branded planned-maintenance layouts. Coordinate message wording with support so customer replies route to tickets if needed.

After the outage

  • Post a follow-up or close related tickets
  • Update ticket subjects if customers reply to the outage email
  • Document root cause in a project or internal note for postmortem
